Deep Blue Documents Institutional Repository - for Students

A guide for students to learn how to deposit their work in Deep Blue Documents. This resource details what students can deposit, the benefits of sharing their work, processes for using Deep Blue Data, and tips for creating accessible documents.

Types of work we accept

For current and former students, the process of depositing will depend on both your program, and the type of work you are depositing. Please head to the section below that most closely aligns with your situation:

LSA Undergraduate Honors Theses

We need all LSA Honors theses to be checked and approved by the student's respective program. This usually happens some time in June, after they have done all the degree requirement validation, though sometimes it takes a little longer. Students should fill out the Honors Thesis Submission form to deposit undergraduate Honors theses into Deep Blue Documents. For further information, students should contact the Honors Program at honors.theses@umich.edu.


Ann Arbor Masters' Theses

We often work with U-M departments directly to get Master's theses deposited on behalf of the students. Please check to the table below to see if your program or department already has an established workflow for depositing theses. If so, please contact them with any questions about depositing your thesis:

If your department is not listed above, we will upload the thesis on your behalf. We’ll need to hold off until the degree is conferred (unless there’s a special situation, and your faculty advisor agrees that we should deposit it earlier).  See the instructions in the “Other Materials” section for getting started. 

 


Ann Arbor PhD Dissertations

For PhD students on the Ann Arbor campus, the way to deposit dissertations in Deep Blue Documents is via Rackham’s process. When you’ve successfully defended your dissertation, they will help you deposit it via their  Electronic Thesis and Dissertation (ETD) system. Then, after your official graduation, we’ll get all the dissertations from that term in one batch from Rackham, and we’ll upload them.

This usually happens about a month after commencement. For further information, please contact OARD.questions@umich.edu. 

If your PhD program is not administered by Rackham, refer to the "Other materials" section below, and reach out to us directly at deepblue@umich.edu.

 


Dearborn Theses & Dissertations

Each program on the Dearborn campus does its own formatting checks for these documents; for more information and guidelines, see the Dearborn Office of Graduate Studies's webpage on Thesis and Dissertation Formatting Guidelines & Deep Blue Archiving.

Theses and Dissertations are then submitted to Dearborn's Mardigian Library for deposit into Deep Blue Documents. This process is also accessible from the page linked above; any additional questions or requests can be directed to ask-the-mardigian@umich.edu.

 


Flint Theses & Dissertations

For students at Flint, after their advisor or committee has signed off on their work, students should refer to the Thompson Library FAQ for more information on uploading the work, or any inquiries.

 


Other Materials

These materials could include:

  • Supplementary dissertation materials (appendices, audio/video files, etc.) not accommodated by the Rackham submission system.
  • Conference Presentations & Posters
  • Recordings
  • Articles
  • Book Chapters
  • Any other materials not governed by the categories above.

For students whose work falls outside of the categories detailed above, we will need to work with you directly. Our current policy is that students need the permission of a faculty member to deposit their work (this is true for both undergrad and graduate students). Please ask your advisor or another faculty member familiar with your work to email us (deepblue@umich.edu), cc'ing you, with a request for you to upload your work into Deep Blue Documents. 

After receiving this permission from your faculty advisor, we will ask for the following from you (see also “Preparing Your Work for Deposit,” on this guide:

  • Your file(s)  
  • Title 
  • Date
  • Author’s name(s), as you’d like it to appear
  • An abstract (if there is one)
  • A few keywords/phrases (no need for more than 5)
  • The name of the advisor and committee member(s), if applicable
  • Assent to Deep Blue Documents Author’s Deposit Agreement (via email)*

*For previously published works, you will need to assess your ability to deposit into an institutional repository; for more information refer to your publishing contract, look at the open policy finder for journals (https://openpolicyfinder.jisc.ac.uk/), or contact copyright@umich.edu.

Once we have permission and the information above, we will deposit the work on your behalf.
